This document explains the terms and conditions set in place by VCS pertaining to registration and related policies for EE. Registering for EE constitutes an agreement on your part to accept the following terms and conditions. It is the responsibility of the registrant to read and understand this Terms and Conditions document.

Registration

o You agree to pay in full the applicable registration fee upon registering for EE. Payment methods include credit card or check. If paying via credit card, your card will be charged immediately. If paying via check, you will receive an invoice from us with terms Due Upon Receipt. Registration is not confirmed until payment has been received. Confirmation of registration will be sent via email to the registered email address on file at the time of registration once payment has been received.

o On-site registration will be accepted on a space-available basis. Payment of on-site registration must be made via credit card.

o Registration fees are subject to change.

o Essential conference information will be sent electronically to all registered attendees at the email address provided at registration. www.EvolutionExchange.com will also contain important information - please check the website for updates.

Registration Costs

-Rate: $849 - Register (3) or more attendees from the same agency and receive a $50.00 discount on each registrant

o A cancellation must be submitted in writing via email to [email protected].

o Confirmed registrants may cancel and receive a full refund minus a $100.00 administrative fee up to January 31, 2023.

o Fifty percent (50%) of the registration fee will be refunded for cancellations received from February 1, 2023 through March 10, 2023.

o Cancellations received after March 11, 2023 are nonrefundable.

o All eligible refunds will be processed after the conference and within two months.

o You may transfer your registration to another eligible party if you are unable to attend EE. Attendees transferring to another party are responsible for any and all financial arrangements between transferring and receiving parties.

Registration transfers must be submitted via email to [email protected] by May 1, 2023. After this date, all changes must be made on-site during EE. There will be a $25.00 processing fee charged per every on-site registration transfer.

General Terms and Conditions

o In the event of fire, flood, storm, explosions, acts of God, war, civil unrest, acts of terrorism, earthquakes, or any other similar event in the areas in which these conference services are performed that VCS reasonably believes to be substantial or that are beyond VCS's control, VCS reserves the right to change the dates, times and conference venue without any liability to the participants.

o The participants by accepting these terms and conditions hereby indemnify VCS and its organizers against and hold it harmless from all or any loss or damage, injury, actions, proceedings or claims arising from any act or omission of the participant during the course of the conference.

o VCS will take photos of attendees throughout the conference. These photos are for VCS use only and may appear on the VCS and/or Evolution Exchange website, newsletter, conference brochures, social media outlets, or other future VCS promotional material. By virtue of your attendance, you agree to usage of your likeness in such media.

Conference Agenda

o A full conference agenda will be provided to all attendees.
o The conference program is subject to change. VCS will communicate all updates to the conference agenda via email.

Travel and Hotel

o EE attendees are responsible for securing their own travel and hotel accommodations. For your convenience, VCS has secured a limited block of rooms at Hard Rock Hotel & Casino. These rooms are available at a conference discounted rate of $109.00 per night (not including tax and related hotel fees). Cut-off date for room reservations is April 8, 2023. Reservation requests after the cut-off date will be based on availability at Hard Rock’s prevailing rates at the time.

o Cancellation of hotel reservations and/or travel expenses incurred are the sole responsibility of each individual.
